Client desired a method to showcase metrics of their salespeople to see how they performed in different functional roles. These metrics existed through a number of fields that were sourced from Saved Searches, and they also needed to be duplicated into stored fields to perform additional calculations on.

Metrics of focus:

'Closes' over X Amount of Time

Successful Completed Sales over X Amount of Time

Leads over X Amount of Time

Cancellations over X Amount of Time

Accounting Details over X Amount of Time

We decided on changing the presentation of metrics through workflow actions instead of custom forms to reduce the maintenance required when adding to the partner form later. The process went as follows:

1: Fields would be created (Stored and Non-Stored Mirrors) to represent a metric point over a period of time (Sales This Week, Sales This Month, Sales This Year, ETC) in a specific role (Sales Manager, Closer, Sales Lead, ETC)

2: Saved Search would be created for each Non-Stored to set its initial data.

3: Master Saved Search would be used in conjunction with a workflow to store the Non-Stored field values into the stored fields and update the Stored field if the value changed.

4: Separate workflow was utilized to change presentation of fields based on a field that was used to select the role of focus. There were separate sets of actions to a: Hide the fields not connected to the role selected at load. b: Show the fields desired if the role selected changed. c: Hide the non-desired fields if the role selected changed.

This resulted in new creations in the system somewhere around the following numbers:

~751 Saved Searches

~1,200 Entity Fields

~750 Workflow Actions to Store Values

~1,600 Workflow Actions to change presentation of metrics
